As the Senior Director of Operations & HR at 5P Consulting, running an "HR Department of 1" alongside company-wide operations isn't just about multitasking; it's about prioritizing where to spend my time.
If my days were consumed by chasing down onboarding forms, manually processing PTO requests, tracking down employee files, or reminding staff to complete annual compliance training, I would be stuck in perpetual reactive mode. Every hour spent acting as a human data bridge is an hour lost to initiatives that actually move the business forward.
My goal was never to work longer hours to keep up with HR administrative work. It was to build a system where tasks take minutes instead of hours because a scalable process is already in place.
That objective is why we originally migrated away from our prior HRIS, which worked fine when we were smaller, but it simply wasn't built for the way we wanted to scale. At 5P Consulting, we are fundamentally all about data, and we chose Rippling because employee master data is at its foundational core.
How Rippling Powers Our Daily Operations
By putting Rippling at the center of our people operations, we built automated, repeatable workflows across the entire employee lifecycle:
-
Zero-Touch Onboarding, Checkr & I-9 Compliance: Implementing Rippling’s automated workflows saves us 2 to 3 hours per hire. We integrate Checkr directly for automated background checks and embed I-9 verification tasks right into the onboarding sequence, ensuring zero compliance slip-ups on day one.
-
Unified Spend Management & Expense Approvals: Managing travel, corporate cards, spend controls, and employee reimbursements through Rippling saves massive amounts of time. I no longer have to chase down missing receipts or manually audit expenses across disconnected systems
-
Policies, LMS & Document Repository: All company handbooks and policies live in a secure repository for digital signatures and safekeeping. We also run internal staff training through Rippling’s Learning Management System (LMS), keeping development and compliance tracking in one place.
-
Custom Reporting & Rapid Exports: Whether executive leadership needs custom personnel reports or we need to export data to import elsewhere, Rippling’s customizable report builder allows me to filter, configure, and export clean data in seconds.
-
Global, Multi-State & Culture Touchpoints: Whether managing remote employees across 4 to 8 states or utilizing Rippling’s Employer of Record (EOR) service for team members out of the US, multi-state payroll and tax compliance run seamlessly in the background. As a bonus, automated birthday and work anniversary reminders keep our culture warm without requiring administrative overhead.
Because these administrative touchpoints run on rails, my bandwidth is protected. When routine HR tasks pop up, they are resolved in a fraction of the time, and that efficiency allows me to spend the vast majority of my day on high-value, strategic HR and running the business; focusing on employee management, proactive issue resolution, leadership alignment, and utilization.
The Operator's Mindset: What We Don't Use (Yet)
A true operator knows that buying every module on day one creates unnecessary noise. A software solution should meet you where you are today while paving the runway for where you are going tomorrow.
Part of our strategy at 5P Consulting means knowing when not to turn on a module:
-
Recruiting & ATS: Our hiring needs are lean and hyper-targeted, so we intentionally stick with ZipRecruiter rather than paying for Rippling’s full recruiting module right now.
-
Time Tracking: Because we are a consulting firm, our consultants track their time directly inside our PSA platform (Certinia) for client billing. We simply export what we need for payroll processing rather than forcing a second timekeeping tool on our team.
-
IT & Hardware Management: As our physical hardware footprint grows, we plan to adopt Rippling's IT module to automate laptop purchasing and device provisioning. But until that operational tipping point arrives, we keep it simple.
-
Employee Surveys: While we rely on 15Five for weekly engagement pulses today (which integrates with Rippling), having native survey capabilities waiting inside Rippling gives us room to expand our feedback loops down the road.
The beauty of Rippling isn't that you have to use every feature on day one. It's that the native capability is already built and waiting. When growth demands deeper automation, the modules are plug-and-play.
Flexible Integration & Smart ROI: Built for Today, Ready for Tomorrow
While reclaiming my time was the immediate operational win, Rippling’s architecture provides a critical secondary benefit: pragmatic scalability.
As a lean firm, we don't buy or integrate software just because we can. Today, we connect Rippling directly to QuickBooks to keep payroll, employee data, and accounting in sync. Meanwhile, tools like our PSA (Certinia) and CRM (Salesforce) run alongside our HR stack without complex bridges because, at our current footprint, over-engineering isn't necessary.
When optional paid add-on modules arise in Rippling, we apply that same pragmatic mindset. We evaluate every potential add-on through a strict ROI lens: Will this module directly save me enough administrative time to justify the cost? If the answer is yes, we deploy it; if not, we hold off.
The beauty of Rippling isn't that you have to connect every tool or buy every module on day one. It's that the native ecosystem is already built and waiting. When our growth demands deeper automation, or when we consult for larger enterprise clients with complex tech stacks, the modules and integration bridges are ready to deploy instantly.
Because I operate as the daily admin, architect, and operator of Rippling within our own firm, we bring a unique perspective to client implementations. Rippling has an extensive catalog of core products and add-on modules, and without a clear strategy, it's easy for growing companies to overbuy or misconfigure their setup.
We help leaders navigate that ecosystem to select the exact product mix that fits their operational needs, eliminates administrative debt, and maximizes ROI.
If you are an HR leader or operator drowning in administrative drag, you don't need a bigger team; you need a better engine, and Rippling just might be the solution you need. Reach out today, and we’ll get you started!
